What does TapMinutes do?
TapMinutes records your meetings and uses AI to produce clean, structured minutes in seconds — including summaries, action items, decisions, and key points. You can also generate detailed notes that are more thorough than standard minutes. Choose from multiple output styles, or create your own custom preset. Everything stays private on your device until you choose to share it.
What output modes are available?
At recording time you can pick between:
  • Minutes — structured meeting minutes with sections
  • Notes — detailed notes, more thorough than minutes
  • Both — generates minutes and notes simultaneously
After the fact you can regenerate either output with a different style (Professional, Concise, Action-Focused, Client-Friendly, or a custom preset) without re-recording.
How do recording and transcription work?
Tap the red record button to start. While recording, live captions appear on screen using Apple's on-device Speech framework — no data leaves your device. When you stop, the audio is processed:
  • Pro users: Cloud transcription via Whisper (OpenAI) for higher accuracy in noisy rooms, accents, and jargon.
  • Free tier: On-device file transcription (iOS 26+ with A17 Pro chip) for live recordings, or cloud transcription with a daily cap.
After transcription, AI generates your structured minutes and/or notes based on your selected style preset.
Do my recordings leave my device?
Live captions run entirely on-device using Apple's speech frameworks — they never leave your device.

When you stop recording, the audio file is sent to our server for transcription and AI minute generation. Audio is processed in real time and is not retained on our servers after processing. We do not use your data to train AI models.

You can export minutes as a PDF or text file whenever you're ready.
Which iOS version is required?
TapMinutes requires iOS 17 or later. On-device live captions require iOS 17+. On-device file transcription (for imported or recovered recordings on the free tier) requires iOS 26 with an A17 Pro chip or newer (iPhone 15 Pro and above).

The Apple Watch app requires watchOS 10 or later.
Can I import existing audio, video, PDF, or text files?
Yes. Tap the import button on the home screen and choose a file from Files, iCloud Drive, or any share sheet. TapMinutes supports:
  • Audio: m4a, mp3, wav, caf, and more
  • Video: mov, mp4, m4v — audio track is extracted automatically
  • Documents: PDF and plain text (.txt) files
Imported files are transcribed and minutes are generated without needing to re-record. Video files with no compatible audio track will be rejected with a clear error message.
How do custom presets work?
Presets let you choose how your minutes are styled. Built-in options include Executive-Style, Concise, Action-Focused, and Client-Friendly. You can also create your own custom preset with a personalized prompt that tells the AI exactly how you want your minutes written.

Presets are applied per-recording and can be changed at any time. You can regenerate minutes from the transcript with a different style instantly — the previous version is saved so you can undo. Pro users can create and save unlimited custom presets.
How does PDF export work?
After minutes are generated, tap the share button and choose Export PDF. The layout includes the meeting title, date, and all structured sections. Pro users can also:
  • Customize the PDF header with their company name and logo
  • Export notes as a separate PDF
The PDF is generated locally and can be shared via the system share sheet.
How does the free tier compare to Pro?
Free tier includes:
  • Audio recording (30-minute cap per session)
  • On-device live captions
  • On-device file transcription (iOS 26+ with A17 Pro)
  • Cloud transcription with daily cap (~60 min/day)
  • Basic PDF export
  • Preset styles
Pro (Monthly $7.99 / Yearly $59.99) adds:
  • Unlimited recording length

How do I use Siri shortcuts with TapMinutes?
Open the Shortcuts app, search for TapMinutes actions, and add them to any shortcut or automation:
  • Start Recording — begins a new meeting recording
  • Open History — opens the meeting history screen
You can also trigger these from Siri by saying things like "Start a meeting with TapMinutes" or "Open my TapMinutes history."
How do I use the Apple Watch app?
The TapMinutes Watch app lets you control recording from your wrist. You can start, stop, pause, and resume recordings without pulling out your iPhone. The watch also shows a list of recent sessions for quick reference.

The watch communicates with your iPhone via WatchConnectivity — keep your iPhone nearby while recording.
Can I organize my meetings with folders and tags?
Yes. TapMinutes supports:
  • Folders — create custom folders to organize meetings. Move meetings between folders from the history list.
  • Tags — add tags to any meeting. The app suggests relevant tags based on your content. Filter by tag in the history view.
  • Search — search across meeting titles, transcripts, minutes, notes, and tags.
  • Trash — deleted meetings go to trash and auto-purge after 30 days. Restore anytime within that window.
What is the Live Activity / Dynamic Island feature?
While recording, TapMinutes shows a Live Activity on your iPhone's Lock Screen and Dynamic Island (on supported devices). You can see the recording timer at a glance without opening the app.

The Live Activity ends automatically when you stop recording. Requires iOS 16.2 or later.
Can I share audio files directly into TapMinutes?
Yes. The Share Extension lets you send audio recordings from other apps (Voice Memos, WhatsApp, your file browser, etc.) straight into TapMinutes. Just tap the share button and choose TapMinutes from the share sheet. The file will be imported and processed automatically.
What happens if my recording is interrupted?
TapMinutes has a Recovery System:
  • Auto-recovery: If the app force-quits mid-recording, it detects the unfinished audio chunks on next launch and offers to continue recording or finish and transcribe.
  • Manual recovery: If a finalized audio file exists without a matching meeting record, the app surfaces a "Recover lost recordings" option on the home screen. You can choose the language and output mode before reprocessing.
Is audio playback synchronized with the transcript?
Yes. In the meeting detail view, you can play back the audio with a synchronized transcript that highlights each word as it's spoken. Tap any segment to jump to that point in the recording. The display can show minutes, notes, transcript, or both simultaneously.
